Semi Trailer Quotation Checklist: Cargo, Tractor and Configuration Details

  • To compare semi trailer quotations, suppliers need to price the same operation and the same supplied equipment. “Three axles, best price” leaves the body, tractor connection, cargo and accessories undefined. The form below gives a purchasing team a practical starting point and leaves unknown items visible rather than turning them into assumptions.

Describe the Normal Job and the Exceptions

Begin with the cargo carried most often: packed dimensions, weight per package and normal journey load. List exceptional loads separately. Also record how goods are loaded and unloaded, whether deliveries have several stops and whether the return load differs. A photograph and a simple deck sketch help show details that a commodity name alone cannot explain.

    Separate Requirements From Options

List mandatory items separately from alternatives you want priced. If a specific component brand or model is required, identify it. Otherwise, ask the supplier to name the proposed equipment. This avoids comparing an offer for one body and component package with a cheaper but materially different proposal. State requested spare parts, instructions and documentation as part of the supply scope.

Compare the Reply With the Form

Check which requirements the supplier has answered and which remain assumptions. Review the quotation, drawing and equipment list together. Commercial matters such as delivery responsibility and exclusions should be recorded separately and resolved in the agreed terms. Keep the final revision identifiable so production and receiving teams use the same specification.

    Before Approving the Configuration

    • Check that the proposal addresses normal and exceptional loads.

    • Resolve differences between the quotation and drawing.

    • Identify the final equipment list and revision.

    • Agree the supply and commercial scope before ordering.

Send your completed trailer enquiry to GENRON. Attach the cargo photos and deck sketch with the completed fields. Mark uncertain items as “to be confirmed” so they can be discussed openly.
